Before you begin

- A family account using the matching Warmkeys email.

Open the linked child and school
Families use the separate Warmkeys Parent Portal rather than a staff School Mann account. The school manages guardian links and invitations. The parent signs in with their own Warmkeys account and chooses the intended child and school.
- Step 1. Confirm the guardian’s email in the school’s records and manage portal access.
- Step 2. Send or resend the invitation through the authorized guardian action.
- Step 3. The guardian signs in and opens the linked child’s school or academics view.
- Step 4. If the child is missing, use the portal’s refresh/help guidance and ask the school to check the link.

Review the available learning records
The academics area provides the records available for that child, such as learning information, attendance, results, reports, timetable, library and class books. Choose the relevant academic period where offered. Availability depends on the school’s configuration and the records it has actually saved.
- Staff drafts and unpublished work should not be treated as released official reports.
- An unrecorded attendance day does not mean the pupil was absent.
- Use school or class announcements for the notices sent to the family audience.
Resolve a report that cannot be opened
- Step 1. Check the child, school and report term first.
- Step 2. Ask the school whether the term is closed and the report is approved and officially issued.
- Step 3. If the report is fee-held, follow the school’s payment or authorized release process.
- Step 4. If no child is linked, correct the guardian record rather than registering the pupil again.
