School setup
Add and maintain students
Create individual pupils or paste a class list, then maintain their details and school references.
Before you begin
- A class already exists.
- Permission to manage students.
Add a student
- Step 1. Open Students and choose the class. Select Add a student.
- Step 2. Enter the first name, surname and optional other names. Confirm the class or section.
- Step 3. Enter the guardian information and any optional contact or profile details the school needs.
- Step 4. If the pupil already owes money from your previous system, enter opening arrears and its source when the option is available.
- Step 5. Review scholarships and the preview of the pupil’s fees. Save, then reopen the pupil to check the record.
Add a list of students
The bulk entry option accepts one name per line. Where opening arrears entry is enabled, use Student name | Opening arrears, or paste two spreadsheet columns separated by a tab. For example: Abena Demo | 80.00. A pupil with no brought-forward debt can use 0. Review the class and the source of the balances before saving.
- Use at most two decimal places for opening arrears.
- Add pupils with identical names individually so you can confirm their identities.
- A bulk name list is not a substitute for checking guardian details and scholarships afterward.
Understand the two IDs
The system Student ID is assigned by School Fees. A school’s own reference, such as Admission No., is a separate optional field. Set its label and duplicate policy under Settings. Keep each reference with the correct pupil; do not treat an admission number as a Payment ID unless the payment page accepts that exact identifier.
Edit or move a pupil
Open the pupil’s actions to edit details, view history or move class. Before moving, check the academic period and any fee changes. For departures, use the past-student workflow so financial history remains available.
