Choose the right kind of balance

Opening arrears are amounts owed before you started keeping the pupil’s accounts in School Fees. Use them for migration or initial entry. Do not enter the same debt again if it has already been carried forward by closing a School Fees term.

Record or review a class list

  1. Step 1. Open Classes & fees and select Opening arrears for the class.
  2. Step 2. Check the term, pupil names, IDs and any existing saved arrears.
  3. Step 3. Enter each checked amount. Blank means leave the saved amount unchanged; enter 0 explicitly if the correct brought-forward debt is zero.
  4. Step 4. Provide the source or reason requested and save. If a row is blocked or changed while you were editing, reopen the list and review it.
  5. Step 5. Check the affected pupil’s fee breakdown and remaining balance afterward.

Enter arrears while adding pupils

The Add a student flow can include opening arrears. Bulk entry can accept a name and amount per line, such as Abena Demo | 80.00, with a shared source. Enter at most two decimal places. Adding debt does not count as collecting it.

Avoid double counting

Keep a record of where the opening balances came from and when you entered them. If a balance is wrong after genuine transactions have already been recorded, use the appropriate correction workflow and check history rather than adding the debt again.
